Only the QuickBooks Administrator can do this.
About setting up your company
When you set up your QuickBooks company, you enter information about it in the EasyStep Interview or in the Creating a New Company window. Later, you can change most of the information you entered. For example, you may need to change your company address because your company has moved.
Important: One entry that you can't change later is the business type. When choosing from the Industry list, be careful to choose the one that most closely resembles your company. You can change the set of accounts for your selection.
To do this task
Go to the Company menu and click Company Information.
If needed, change your company's Contact Information.
Enter your new company name and address as you would like them to appear on
printed invoices, checks, and other forms.
If needed, change your company's Legal Information.
If your company's legal name and address is different from the name and
address you use on printed forms, enter that information in the Legal
Information fields. QuickBooks uses your company's legal information on
1099s, 940s, 941s, W-2s, W-3s, paystubs, and state tax forms.
Be sure that you
enter valid characters for your company's legal name and address.
Changing your legal information when you use a payroll service
If you use Assisted Payroll or QuickBooks Payroll with Direct Deposit, visit
(http://www.payroll.com/support/forms.html) for forms and instructions on how to change your legal company name or address.
If your shipping address is different than the address already shown in this window, click the Ship To Address button to enter it. The Ship To Address button is visible only if you have Inventory and Purchase Order preferences turned on.
In the Report Information section, you can change the dates.
If the starting month for your fiscal year has changed, click the new month from the drop-down list.
How QuickBooks uses your fiscal year
QuickBooks uses your fiscal year to set the date range for certain reports
and graphs. For example, if your fiscal year begins on July 1, the beginning date for reports based on your fiscal year is July 1. You can change the date range for any individual report or graph when you create it.
If the starting month for your tax year has changed, click the new month from the drop-down list.
How QuickBooks uses your tax year
QuickBooks uses your tax year to create income tax summary and detail
reports. For example, if your tax year begins on January 1, your income tax reports show all tax-related transactions from January 1 through December 31 of the current tax year. You can change the date range of any individual report to cover other tax years or periods when you create the report.
If you did not select an income tax form when you created your company file (for example if you used the EasyStep Interview) or if your income tax form has changed, click the new tax form from the drop-down list in the Report Information section.
Important: If you change the tax form, QuickBooks resets all of the associations between accounts and tax lines to . You'll have to reassociate your accounts with tax lines for the new tax form you've chosen.
In the Company Identification section, you can change your federal Employer Identification Number or your Social Security Number.
Changing your EIN or SSN when you use a payroll service
If you use Assisted Payroll or QuickBooks Payroll with Direct Deposit, you cannot change either number. To change your ID number or for information, contact the payroll service.
If needed, update the name and contact information of the person who is responsible for filling out your payroll tax forms in the Payroll Tax Information section.
